Weekly client packets for the whole book, delivered by n8n
Import one file into n8n and every Monday your whole client book is reported: Agency AI Visibility Reports runs on Apify for every client, and the finished white-label packets land in Google Drive and your inbox, with a portfolio summary in Slack.
Download the workflow JSON See what a packet looks like
- 16 nodes, official Apify node (@apify/n8n-nodes-apify) plus n8n core nodes
- No code to write: edit one node with your client list and branding
- Spend capped per run; only completed packets are charged
What it does
- Every Monday 07:00: schedule trigger; change the day and hour to your reporting day
- Client book and branding: one node holds your client CSV, agency name, logo URL, accent color, book ID, delivery email and a maximum spend per run
- Start client book run: the official Apify node starts Agency AI Visibility Reports for the whole book, with your spend cap
- Wait 4 minutes, check run status: polls the run until it finishes; a 3-client book takes about 3 minutes, 20 clients longer. If the run fails, the workflow stops with an error that links to the run
- Get MANIFEST: per-client status, AI visibility, week-over-week change, share of voice and top action
- Portfolio summary: clients that lost the most visibility first, with the next action for each, posted to Slack
- Download files: PORTFOLIO.html plus the HTML and PDF packet for every delivered client
- Destinations: upload every file to a Google Drive folder and send one Gmail email with all packets attached. Delete the destinations you do not use
Setup (about 10 minutes)
- Import: in n8n, Workflows → Import from file →
agency-portfolio-weekly.json. On n8n Cloud the Apify node is available as a verified community node; self-hosted: Settings → Community nodes → install@apify/n8n-nodes-apify. - Apify credential: open Start client book run, create an Apify account credential with your API token (Apify Console → Settings → API & Integrations). The two HTTP nodes use the same credential (Authentication → Predefined credential type → Apify API).
- Your book: open Client book and branding and replace the sample CSV with your clients, one row per client:
client, domain, competitors, category(orquestions),keywords. SetagencyName, agencyLogoUrl,accentColor, deliveryEmailandmaxSpendUsd. KeepbookIdthe same every week so packets show week-over-week change. Prefer a Google Sheet? Replace this node with a Google Sheets "Get rows" node and a Code node that joins the rows into CSV. - Destinations: pick a Drive folder in Upload to Google Drive, connect Gmail in Email packets and Slack in Post summary to Slack (set the channel). Delete any you do not need.
- Test, then activate: click Test workflow once. Check the email and the Drive folder, then switch the workflow to Active.
Cost
The workflow is free. Apify bills the report tool per completed client packet: $12 for books of 1-19 clients, less for larger books, plus a few cents of platform usage per run. Same-week re-runs and partial packets are free, and maxSpendUsd caps every run. Example: a 10-client book every week is 10 packets × $12 = $120 a week, about $520 a month.
Prefer we run it for you?
The managed package covers up to 20 clients for 4 weekly rounds, delivered by email, with no Apify or n8n setup. Or start with the $99 portfolio audit.
